Core HR suite

Documents, comms & engagement

Sixteen features for everything HR writes and sends: generated letters with approvals, targeted announcements, surveys, and grievance and disciplinary cases handled as records rather than email threads.

A large share of HR's week is producing documents and telling people things. Both are usually done in Word and email, which means no version history, no approval trail, and no way to answer who received what.

KLEDHR makes both first-class: documents are generated from the record and approved before they're issued, and announcements are targeted, scheduled and measurable.

Document generator

Offer letters, salary certificates, NOCs, contracts, warnings and experience letters, drafted from the record on your letterhead.

Templates & approvals

Every template has an owner and an approval chain, so a salary certificate can't leave the building unreviewed.

Targeted announcements

By entity, department, site, grade or shift — scheduled, and with read tracking so you know it landed.

Surveys

Pulse and full surveys with anonymity thresholds that are enforced by the product rather than promised in the intro text.

Grievance cases

Raised through self-service, routed to a scoped case handler, with the trail kept separate from the general HR record.

Disciplinary management

Warnings issued against a defined process, with the letter, the acknowledgement and the retention period handled together.

Generated, not templated

A mail-merge template fails the moment the document needs a number that lives somewhere else. Generating from the record means the salary on a certificate is the salary in payroll, on the day it was issued.

  • Figures pulled live from payroll and locked at issue.
  • Every issued document versioned and attached to the employee record.
  • Bilingual output where the recipient authority expects it.
  • Retention and deletion rules applied per document type.

Communication that can be evidenced

When a policy change matters — a new working week, a change to overtime treatment — the question later is always who was told and when. Announcements carry that evidence.

  • Read receipts per recipient, exportable.
  • Acknowledgement required where the policy needs it.
  • Scheduled sends, including to shift workers on the mobile app.
  • Archived with the audience definition, not just the message.

Questions we get asked

Can we keep our existing letter formats?
Yes. Templates carry your letterhead, clause language and signature blocks; the generator fills them from the record.
Are surveys really anonymous?
Where you set an anonymity threshold, results below that group size are not shown at all — including to administrators.
